Arcade Strange Limited respects your privacy and is committed to protecting your personal information. This policy explains what information we collect, why we use it, who we share it with and the rights you have.

1. Who we are

Arcade Strange Limited is the controller of the personal information described in this policy.

2. Information we collect

We may collect:

  • Contact information, such as your name, email address, telephone number, company and job-related details you choose to provide.
  • Event and enquiry information, such as the event name, date, type, location or venue, activation duration, selected inventions, configurations or packages, branding requirements, estimated budget and anything you include in a message to us.
  • Estimate information, including the choices used to calculate an indicative estimate, the resulting indicative cost, whether you continued the enquiry and communications connected with the estimate.
  • Meeting-booking information, such as your chosen meeting time, contact details and information you provide when arranging a call.
  • Correspondence, including emails, meeting notes, quote requests and other communications with us.
  • Technical and usage information, such as your IP address, browser and device type, pages viewed, timestamps, approximate location derived from your IP address, and security or diagnostic information generated when you use the website.

Please do not send us sensitive personal information unless it is genuinely necessary and we have agreed how it should be handled.

3. How we collect information

We collect information:

  • directly from you when you use our estimate tool, submit an enquiry, request a quote, book a meeting or contact us;
  • automatically through the technical operation and security of our website; and
  • from your organisation or another person involved in arranging an event, where they provide your business contact details to us.

If someone else provides your information, we will use it only for the relevant event, enquiry or business relationship and will provide privacy information where required.

4. Why we use your information and our lawful bases

We use personal information for the following purposes:

The single estimate reminder relates only to the estimate or enquiry you started. We will not treat an estimate request as permission to add you to unrelated or ongoing marketing.

Where we rely on legitimate interests, we consider whether our use is necessary and balanced against your rights and reasonable expectations.

5. Who we share information with

We may share personal information only where necessary with:

  • Lovable, which provides the website platform and cloud services. Lovable Cloud uses Supabase infrastructure for services including hosting, databases and storage.
  • Mixmax, when you use our meeting-booking link or when its email and scheduling functions are used in connection with your enquiry.
  • Google, because the website currently loads Google Fonts, and where Google email or calendar services are used to communicate with you or arrange a meeting.
  • providers of business email, calendars, customer relationship management, website support, security, backups and other operational services used by Arcade Strange;
  • professional advisers such as accountants, lawyers and insurers;
  • venues, logistics providers, contractors or delivery partners where this is necessary to plan or deliver your event; and
  • regulators, law-enforcement bodies, courts or other authorities where disclosure is required by law.

We require service providers acting on our behalf to protect personal information and use it only for the agreed purpose. We do not sell personal information.

Third-party services have their own privacy information, including the Lovable Privacy Policy, Mixmax Privacy Policy and Google Privacy Policy.

6. International transfers

Some service providers may process information outside the United Kingdom. Where personal information is transferred to a country that is not covered by a UK adequacy regulation, we use an appropriate safeguard where required, such as the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful transfer mechanism. You may contact us for more information about the safeguards relevant to your information.

7. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, reporting and dispute-resolution requirements.

Our usual retention periods are:

  • unfinished estimates and enquiries that do not become bookings: up to 24 months after the last meaningful contact;
  • information connected with confirmed bookings, contracts and financial records: generally six years after the end of the relevant financial year or business relationship, where required for tax, accounting or legal purposes;
  • meeting-booking and routine correspondence: for as long as needed for the enquiry or relationship, normally no longer than 24 months after the last meaningful contact unless it forms part of a booking record;
  • marketing preferences and suppression records: for as long as needed to respect your choice; and
  • technical and security records: for the period reasonably required for security, troubleshooting and service operation, subject to the relevant provider's retention arrangements.

We may keep information for longer if there is a legal requirement, an unresolved complaint or dispute, or a need to establish, exercise or defend legal claims. We may retain information in anonymised form where it can no longer identify you.

8. Marketing and the estimate reminder

We may send one follow-up message about an indicative estimate you requested but did not continue. The message should identify the selected configuration, the indicative cost and a way to return to the enquiry. It should not contain unrelated promotional material.

We will send general promotional email only where permitted by law. You can opt out of general marketing at any time by using the unsubscribe option in the message or contacting us. Opting out of marketing will not prevent service communications that are necessary for an enquiry or booking.

9. Cookies and similar technologies

The website may use technologies that are necessary for its operation, security and accessibility. We will ask for consent before using non-essential analytics, advertising or similar technologies where consent is required. Rejecting non-essential technologies will not prevent you from using the core website or submitting an enquiry.

If we introduce non-essential analytics or advertising tools, we will update this policy, provide clear information about them and make suitable cookie controls available before they are activated.

10. Automated decisions

The estimate tool uses your selected options to calculate an indicative cost. It does not make a decision that has a legal or similarly significant effect on you. Availability and final pricing are reviewed and confirmed by Arcade Strange.

11. Security

We use appropriate organisational and technical measures designed to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. Access is limited to people and service providers who need the information for the purposes described in this policy.

No internet service is completely secure. If you believe information you have provided to us has been compromised, contact us promptly at hello@arcadestrange.com.

12. Your rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to processing based on legitimate interests or to direct marketing;
  • receive information you provided in a portable format; and
  • withdraw consent at any time where we rely on consent.

You have an absolute right to object to the use of your personal information for direct marketing.

Our website contains links to websites and services operated by other organisations. Their privacy practices are governed by their own policies. This includes the external Mixmax meeting-booking page and press, social-media and playbook links.

We may update this policy when our services, suppliers or legal obligations change. We will publish the updated version on this page and change the date at the top. If a change materially affects how we use information already collected, we will provide additional notice where required.
